This guide is designed for business owners, accountants, and finance managers who need a centralized system for vendor invoice tracking. It explains how to consolidate invoices from multiple vendors, organize them by specific timeframes and categories, and manage payment statuses across different business profiles. By following these steps, you will transform a disorganized collection of PDF bills into a searchable, sorted financial archive.
Before you begin
You can use the Free, Pro, or Business plan to follow this guide. The Free plan allows you to upload 25 invoices per month, which is suitable for testing the workflow. Ensure you have your vendor invoices ready as PDF files. FilePile supports standard digital PDFs and scanned PDFs. If you manage multiple companies, verify that your profiles are set up correctly under Profiles in the left sidebar.
Step-by-step instructions
- Log in to your account at filepile.co/login.
- Open the Dashboard from the left sidebar. This is your main hub for all invoice activities.
- Click the Process tab at the top of the Dashboard page. This is the designated area for ingesting new documents.
- Drag and drop your vendor invoice PDFs into the upload zone. You can also click inside the zone to open your file browser and select files. Remember that FilePile only accepts PDF files.
- Wait for the processing queue to finish. The system will automatically extract data such as the vendor name, invoice date, and total amount. Once processed, the files move out of the queue and into your sorted archive.
- Click the Browse tab on the Dashboard. This section is the primary tool for vendor invoice tracking. It displays your invoices organized into folders by vendor name and month.
- Use the filter options at the top of the Browse tab to narrow down your view. Click the Vendor dropdown to select a specific supplier. This allows you to see all historical invoices from that single vendor in one list.
- Click the Month dropdown to filter your spend by a specific timeframe. This is useful for reviewing monthly expenses or preparing quarterly reports.
- Click the Category dropdown to sort invoices by spend type. This helps you analyze how much you are spending on specific operational areas like software, utilities, or marketing.
- Navigate to the Recurring tab on the Dashboard to view auto-detected recurring products. FilePile automatically identifies recurring products after you upload at least two monthly invoices for the same vendor and product. You do not need to manually register these vendors.
- Check the status of your recurring services in the Recurring products list. If you see a checkmark for the current month, the system has received and processed the invoice. Uploading the invoice for the current month serves as confirmation of payment for these auto-detected items.
- Return to the main Dashboard view to locate the Upcoming vendor payments card. This card lists individual one-off invoices due in the next 30 days.
- If you have a one-off bill in the Upcoming vendor payments list that you have paid outside the system, click Mark paid on the card. This action clears the item from your open list. Note that this button is optional and intended only for one-off bills. Do not use this for recurring products, as the upload itself confirms those payments.
- Open Business HQ from the left sidebar by clicking /account/business.
- Locate the Vendor Payment Command Center panel. This section provides a consolidated view of your financial obligations across all profiles.
- Review the Open bills and Total due sections in the Vendor Payment Command Center. This gives you an immediate snapshot of cash requirements based on the due dates extracted from your uploaded PDFs.
- Check the Next-30-day outlook to plan your upcoming cash flow. This view aggregates all due dates to help you prioritize payments.
- If you manage multiple businesses, click the profile dropdown in the Dashboard header to switch between profiles. This allows you to track vendor spend separately for each entity without logging out.
What you should see
After uploading files in the Process tab, you should see them disappear from the queue and appear in the Browse tab. In the Browse tab, you should see a clean interface with dropdown menus for Vendor, Month, and Category. Selecting a filter should instantly update the list to show only relevant invoices. On the Recurring tab, you should see a list of services with status indicators showing which months have been received. In the Vendor Payment Command Center, you should see a summary table displaying open bills and a total amount due. You should not see a separate form for entering payment dates and amounts, as FilePile derives this data directly from your uploaded PDFs.
Tips and common issues
- Ensure high quality scans: If you upload scanned PDFs, ensure the text is clear and legible. Blurry scans might prevent FilePile from correctly reading the vendor name or due date, which can impact your ability to track invoices accurately in the Browse tab.
- Check the Tasks tab: If an invoice appears in the Browse tab but is missing details like the category or vendor name, check the Tasks tab on the Dashboard. This tab highlights invoices that require manual review before they can be fully sorted.
- Use Reminders for gaps: Navigate to Reminders at /account/reminders to configure alerts. If you have a Pro or Business plan, FilePile can send you recurring gap emails when an expected recurring invoice is missing, ensuring your vendor invoice tracking stays up to date.
