Before you begin

Before you can successfully export invoices to QuickBooks, you must ensure that your FilePile account is set up correctly and that your data is ready for export. First, verify your subscription plan. The export functionality is available on the Free, Pro, and Business plans, so all users can access this feature. However, ensure you have not exceeded your monthly upload limit if you are on the Free plan, which allows for 25 invoices per month.

Next, confirm that your invoices have been processed. FilePile only allows you to export data that has already been successfully parsed from your uploads. You must have your source documents ready. FilePile accepts PDF files only, including scanned PDFs. Ensure that the invoices you wish to export are visible in the Browse tab of your Dashboard and are not stuck in the processing queue. If you are managing recurring services, remember that FilePile auto-detects these products after you upload at least two monthly invoices for the same vendor. You do not need to manually set these up before exporting. Finally, ensure you have administrative access to your QuickBooks account to import files.

Step-by-step instructions

Follow these detailed steps to move your data from FilePile to QuickBooks.

  1. Log in to your FilePile account by visiting filepile.co/login and entering your user credentials.
  2. Once logged in, locate the left dark sidebar navigation menu. Click Dashboard to open the main overview page.
  3. On the Dashboard, verify that your invoices are ready. Click the Process tab at the top of the Dashboard area. If you have pending invoices, drag and drop your PDF files into the upload zone or click to choose files. Wait for the processing queue to show that all files have been successfully parsed.
  4. After processing, click the Browse tab on the Dashboard. Review the sorted folders by vendor and month to ensure the invoices you intend to export are present and correctly categorized.
  5. Navigate to the export area by locating the left sidebar again. Click Business HQ. Note that this is a distinct section located at /account/business, not a tab within the Dashboard.
  6. Inside the Business HQ, you will see various panels. Locate and click the Accounting Export Hub panel. This is the central location for generating financial data exports.
  7. Within the Accounting Export Hub, you will see options to configure your export. Look for the Platform dropdown menu and select QuickBooks to ensure the CSV format matches QuickBooks requirements.
  8. Select the date range for the invoices you wish to include in the export. You can choose specific months or a custom date range depending on your accounting period needs.
  9. If you only wish to export specific vendors, use the Filter by Vendor option to select specific companies. Leave this blank if you want to export all payable invoices for the selected period.
  10. Click the Download CSV button to generate the file. Your browser will begin downloading the file immediately, usually to your default Downloads folder.
  11. Open your web browser and log in to your QuickBooks Online account (or open QuickBooks Desktop).
  12. Navigate to the Import or Bank Data section within QuickBooks. This is typically found under the Tools or Banking menu.
  13. Select Upload File or Import CSV. Choose the CSV file you just downloaded from FilePile from your computer's Downloads folder.
  14. Follow the QuickBooks mapping wizard to match the columns in the CSV (Date, Vendor, Amount, Category) to the corresponding fields in QuickBooks. Click Finish or Import to complete the transfer.

What you should see

During the process, there are several visual cues to confirm you are on the right track. When you open the Accounting Export Hub, you should see a clean interface listing available export formats including QuickBooks, Xero, and Sage. After clicking Download CSV, the file should appear in your browser's download bar at the bottom of the screen or in the top-right corner, depending on your browser.

When you open the downloaded CSV file using a spreadsheet application like Excel or Google Sheets, you should see a header row with columns such as Invoice Date, Vendor Name, Invoice Number, Total Amount, and Category. The rows below should contain the data extracted from your PDFs. There should be no error messages or garbled text if the PDFs were high quality. In QuickBooks, after the import, you should see a success confirmation message indicating how many transactions were imported. You should then be able to view these transactions in your Expenses or Vendor Bills list.

Tips and common issues

  • Handling Recurring Products: If you notice that a recurring vendor bill is missing from your export, check your Dashboard Recurring tab. FilePile auto-detects recurring products only after you upload at least two monthly invoices. If you have not uploaded the current month's PDF yet, the data will not be in the Export Hub. Simply upload this month's PDF when it arrives to trigger the checkmark in the Recurring products section.
  • Scanned PDF Quality: While FilePile supports scanned PDFs, poor quality scans can result in parsing errors. If an invoice amount or date appears incorrectly in the CSV, go to the Tasks tab on your Dashboard to review and correct the fields before exporting. Do not try to fix the CSV manually after export, as the error will persist in FilePile.
  • Duplicate Imports: If you import the same CSV file twice into QuickBooks, you may end up with duplicate entries. To avoid this, check the Vendor Payment Command Center in FilePile at /account/business to see which bills have already been processed. You can also use the unique Invoice Number column in the CSV to check for existing entries in QuickBooks before importing.
  • Marking Paid Status: Remember that uploading the invoice is how you confirm payment for recurring services in FilePile. Do not click Mark paid for these auto-detected recurring products. The Mark paid button on the Dashboard is optional and intended only for one-off vendor bills in the Upcoming vendor payments card that you want to clear from the open list.
