This guide is designed for business owners, accountants, and finance managers who need to track spending patterns and create financial summaries. You will learn how to transform uploaded vendor invoices into visual charts and detailed monthly expense reports using FilePile's dashboard and Business HQ features.
Before you begin
To follow these steps, you must have an active FilePile account. While the Free plan allows you to upload 25 invoices per month and view basic charts, generating comprehensive Executive P&L Reports and using the Accounting Export Hub requires a Pro or Business plan. Ensure you have your vendor invoices saved as PDF files. Scanned PDFs are supported, but clear, digital copies produce the most accurate data extraction.
Step-by-step instructions
- Log in to your account by visiting filepile.co/login and entering your credentials.
- Open the Dashboard from the left dark sidebar. This is your main hub for viewing uploads and expense charts.
- Click the Process tab located at the top of the Dashboard view.
- Drag and drop your vendor invoice PDF files into the upload zone, or click the area to select files from your computer. FilePile will automatically begin extracting data such as the vendor name, date, and total amount.
- Wait for the processing queue to finish. You will see a status indicator for each file. If any files fail or require attention, they will appear in the Tasks tab.
- Click the Tasks tab on the Dashboard to review any invoices that are missing information. Verify that the category and vendor name are correct for accurate reporting.
- Navigate back to the main Dashboard view by clicking the Dashboard link in the left sidebar.
- Locate the expense charts section on the Dashboard. These visual graphs provide an immediate category breakdown of your spending for the current period.
- To generate a formal monthly expense report, click Business HQ in the left sidebar. Note that this is accessed directly from the sidebar, not from an account dropdown menu.
- Within Business HQ, click the Executive P&L Reports panel.
- Use the date range filters to select the specific month you wish to report on. You can also filter by specific vendors or categories to narrow down the data.
- Review the spend breakdown and vendor concentration tables displayed in the report. This gives you a granular view of your monthly expense reports.
- To export this data for external accounting, click the Accounting Export Hub panel in the Business HQ menu.
- Select your preferred software format, such as CSV for QuickBooks, Xero, or Sage.
- Click the Export button to download the file to your computer.
What you should see
After uploading your files, you should see the Process tab update to show a green success status for completed invoices. On the main Dashboard, you should see visual pie or bar charts representing your expense categories. In the Executive P&L Reports panel, you should see a detailed table listing line items with columns for Date, Vendor, Category, and Amount. When using the Accounting Export Hub, a confirmation message should appear, and your browser should download a CSV file containing the formatted report data. If you have recurring vendors, the Recurring products section on the Dashboard will show a checkmark for the current month once the invoice is uploaded.
Tips and common issues
- Recurring product detection: You do not need to manually set up recurring vendors. FilePile automatically detects recurring products after you upload at least two monthly invoices for the same vendor and product. Once detected, simply upload this month's PDF when it arrives to confirm payment and update your reports.
- Handling one-off payments: For non-recurring bills listed in the Upcoming vendor payments card on the Dashboard, you can optionally click Mark paid to clear them from your open list. Do not use this for auto-detected recurring products, as the upload itself acts as confirmation.
- Missing invoices in reports: If your monthly expense reports seem incomplete, check the Tasks tab. Invoices stuck there due to missing fields will not appear in your final charts or exports until you resolve the data issues.
- Plan limits: Remember that the Free plan allows 25 invoices per month. If you exceed this, you will need to upgrade to Pro or Business to continue processing files for your reports.
