The Executive P&L summary on Business HQ gives owners a high-level operating spend view: total spend, invoice count, vendor concentration, and category breakdown from sorted PDFs on file.
What this guide covers
Opening the executive panel, reading metric cards, interpreting vendor concentration risk, and pairing with dashboard charts.
Before you begin
- Business plan with executive reports enabled.
- Vendor PDFs processed into Ledger for the period you are reviewing.
Step-by-step: open Executive P&L summary
- Log in at /login.
- Open Business HQ (/account/business).
- Scroll to Reconciliation & reporting.
- Find Executive P&L summary (operating spend and vendor concentration).
- Read the metric cards and category list in the panel body.
Step-by-step: read the metrics
- Operating spend sums sorted invoice amounts for the reporting window.
- Invoices counts processed bills included in the summary.
- Top vendor share shows what percentage of spend went to your largest vendor.
- Read the risk note below the cards for concentration warnings.
- Scroll the category list for dollar amounts per expense type.
Step-by-step: act on the summary
- If concentration is high, review Top vendors on Dashboard.
- Upload missing vendor PDFs on Upload before the next review.
- Open Tax estimates for estimated tax impact of deductible spend.
- Export detail via Accounting Export Hub if your CPA needs CSV.
What you should see
- Three metric cards across the top of the panel.
- A short risk note when one vendor dominates spend.
- Category rows with name and dollar amount when data exists.
- Empty or minimal panels before enough invoices are on file.
Tips and common issues
- Executive P&L is read-only; it does not edit Ledger rows.
- Numbers come from due dates and amounts on processed PDFs.
- Pair with Monthly expense charts for month-by-month trends.
- Recurring subscriptions still need monthly PDF uploads, not Mark paid.

Tip: Review Executive P&L at month-end after Processing clears so operating spend matches paid bills.
Frequently asked questions
Is this a full GAAP P&L?
No. It summarizes operating spend from vendor invoices you uploaded, not revenue unless you enter it in Tax estimates.
Which plan includes executive reports?
Business only.
Does it include personal expenses?
Only invoices in the active profile Ledger appear.
Scenario walkthrough
Imagine it is the 28th of the month. You log in at /login, land on Dashboard (/dashboard), and scan the stat tiles: Tracked spend, Estimated tax (if on Business), Account credit, and Open invoices for your FilePile subscription. You open the Upload tab, add any PDFs that arrived today, then switch to Processing until each row shows completed. You check Ledger for amounts and Browse for folder paths. If Business HQ (/account/business) applies to your plan, you open the relevant panel next. Finally you visit /docs if you need a deeper guide.
Glossary (FilePile terms)
- Dashboard: main workspace at /dashboard with Upload, Processing, Ledger, Tasks, Browse tabs.
- Business HQ: owner tools at /account/business including Payment Command Center, Email Invoice Inbox, Spend Budgets, Approval Workflows, Bank Reconciliation, Tax estimates, Executive P&L, and Accounting export/import.
- Profile: separate business archive under one login; see /account/profiles.
- Ledger: searchable table of processed vendor invoices.
- Tasks: review queue for missing fields or billing mismatches.
Keyboard and navigation habits
Use the left sidebar consistently: Dashboard for daily PDF work, Business HQ for payables and reporting, Reminders at /account/reminders for email preferences, Help center at /docs for articles like this one. The Invoice workspace never uses a tab named Process; uploads always start on Upload.
When to contact support
Contact support if a valid PDF fails after three retries on Processing, if team invites never arrive, if billing charges look incorrect on /account/invoices, or if Business HQ panels stay locked after a confirmed upgrade. Include your account email, active profile name, and screenshot of the error row.
Record-keeping reminder
FilePile sorts and extracts PDFs you provide. It does not replace professional tax, legal, or accounting advice. Keep original vendor emails and bank records alongside your FilePile Browse archive for audit readiness.
Owner review rhythm
Check Executive P&L, Tax estimates, and Spend budgets on the same Business HQ visit each month for a consistent owner snapshot.
