Plans and billing overview

FilePile offers three plans: Free, Pro, and Business. Each tier adds invoice volume, collaboration, and Business HQ tools while keeping the same PDF upload workflow on Dashboard.

What this guide covers

Plan differences, where to view your subscription, and how billing relates to vendor PDF processing.

Before you begin

  • Sign in at /login with billing access (usually the account Owner).
  • Visit /pricing on the marketing site for current prices.

Plan overview

| Plan | Best for | Highlights |
|------|----------|------------|
| Free | Trying FilePile | 25 invoices/month, 1 profile, Payment Command Center on Business HQ |
| Pro | Growing teams | Higher volume, AI assistant, ZIP exports, Email Invoice Inbox, recurring gap emails |
| Business | Finance-led companies | Approvals, bank reconciliation, Tax estimates, executive P&L, billing verification, bulk ZIP |

Vendor PDF uploads work the same on every plan: Upload tab, PDF only, AI sorting to Browse.

Step-by-step: view your current plan

  1. Open My plan & services from the sidebar (/account/subscription).
  2. Read your plan name, renewal date, and included invoice allowance.
  3. Check Dashboard for the monthly usage bar (processed vs limit).
  4. Open Business HQ (/account/business) to see which panels your plan unlocks.

Step-by-step: pay FilePile invoices

  1. Go to Invoices under billing (/account/invoices) for FilePile subscription bills.
  2. Pay with saved card or PayPal.
  3. Apply Account credit at checkout if you have a balance (/account/credit).
  4. See Paying your FilePile invoices for receipts.

What you should see

  • Plan pill on Dashboard hero matching My plan & services.
  • Stat tile Open invoices counting unpaid FilePile subscription bills (not vendor PDFs).
  • Business HQ panels grayed or upsell-linked when a feature requires a higher plan.

Tips and common issues

  • Free includes 25 invoices per calendar month; extra uploads need credit packs or an upgrade.
  • Changing plans is prorated; read Upgrading your plan.
  • FilePile subscription invoices are separate from vendor PDFs in Ledger.

Tip: Match plan tier to how many PDFs you upload monthly plus whether you need Business HQ reporting.

Scenario walkthrough

Imagine it is the 28th of the month. You log in at /login, land on Dashboard (/dashboard), and scan the stat tiles: Tracked spend, Estimated tax (if on Business), Account credit, and Open invoices for your FilePile subscription. You open the Upload tab, add any PDFs that arrived today, then switch to Processing until each row shows completed. You check Ledger for amounts and Browse for folder paths. If Business HQ (/account/business) applies to your plan, you open the relevant panel next. Finally you visit /docs if you need a deeper guide.

Glossary (FilePile terms)

  • Dashboard: main workspace at /dashboard with Upload, Processing, Ledger, Tasks, Browse tabs.
  • Business HQ: owner tools at /account/business including Payment Command Center, Email Invoice Inbox, Spend Budgets, Approval Workflows, Bank Reconciliation, Tax estimates, Executive P&L, and Accounting export/import.
  • Profile: separate business archive under one login; see /account/profiles.
  • Ledger: searchable table of processed vendor invoices.
  • Tasks: review queue for missing fields or billing mismatches.

Keyboard and navigation habits

Use the left sidebar consistently: Dashboard for daily PDF work, Business HQ for payables and reporting, Reminders at /account/reminders for email preferences, Help center at /docs for articles like this one. The Invoice workspace never uses a tab named Process; uploads always start on Upload.

When to contact support

Contact support if a valid PDF fails after three retries on Processing, if team invites never arrive, if billing charges look incorrect on /account/invoices, or if Business HQ panels stay locked after a confirmed upgrade. Include your account email, active profile name, and screenshot of the error row.

Record-keeping reminder

FilePile sorts and extracts PDFs you provide. It does not replace professional tax, legal, or accounting advice. Keep original vendor emails and bank records alongside your FilePile Browse archive for audit readiness.

Stat tile clarity

Open invoices on Dashboard counts FilePile subscription bills from /account/invoices, not vendor bills in Ledger. Teaching this distinction prevents finance teams from hunting vendor PDFs in the wrong screen.

Quick reference card

|------|-------|
| Login | /login |
| Register | /register |
| Dashboard | /dashboard |

| Reminders | /account/reminders |
| Help | /docs |
| Plans | Free (25/mo), Pro, Business |
